Overview
The platform offers automated email tools for handling transaction confirmations, acknowledgments, and action-based alerts. These emails can be configured both at the account and Campaign levels.
This document outlines the steps to set up and customize these emails through the Dashboard settings. Detailed instructions for Campaign-level email configuration can be found here.
Templates
The following categories of emails and sequences are available in givetly:
- Donations: Donation in progress, one-time receipt, donation failed, donation refund, scheduled donation
- Recurring plans: Plan receipt, installment receipt, installment failed, plan scheduled, plan canceled, plan failed, plan updated, Mastercard renewal reminder, annual summary receipt
- Other communications: Bank mandate, expiring card reminder, abandoned donation reminder
- Tribute: Tribute e-card, tribute reminder
- Fundraisers notifications: Fundraiser started, donation received, goal reached, member welcome, member notification
Enabling and Disabling Emails
Each email’s configuration page features a Send email dropdown, allowing you to toggle email dispatch. If set to Do not send, will deactivate that email. This can be beneficial if your organization uses another system for transactional emails. It’s recommended to use givetly’s built-in emails due to their high deliverability and standard appearance across major email clients.
Opting Out of Receipts
Installment receipt emails from activated campaigns can be opted out of by individual supporters using a link at the footer of their installment emails. Recurring supporters can manage this preference starting from their second installment email. Organizations can also adjust these preferences within the Recurring tab of the Dashboard by editing any recurring plan.
Note: Even if supporters opt out, generated receipts are accessible in the Donor Portal according to your receipt settings, but they won’t be sent as emails.
Previewing and Sending Test Emails
Every email configuration view offers a Show preview option to launch a preview modal, reflecting any applied customizations. This modal includes a Send test email button, permitting you to enter any valid email address to receive a test version, marked with a test mode heading to differentiate from live emails.
Email Sending Domain
By default, emails are sent from [email protected]. However, you can use a custom domain. To set this up:
- Navigate to Emails > Customization in your organization settings.
- Input your preferred sender email.
- Click Verify.
- Configure your DNS with our settings.
- Click Verify again in the dashboard to finish the process.
Account-Level Customizations
Customize emails platform-wide from the Emails page in Dashboard Settings, establishing defaults for new Campaigns.
Changes at the account-level won’t affect pre-existing Campaign emails.
Customization Settings
- Sender name: Appears in inboxes. Use a recognizable label like your organization’s name.
- Sender email: Used for replies. Ensure it’s verified.
- Primary color, body background, header color: Define your email’s visual theme using HEX, RGB, or HSL inputs.
- Logo settings: Adjust the logo appearance (position, size, image).
- Text and footer colors: Define text and footer styles ensuring WCAG compliance.
- Social links: Add URLs to Facebook, Instagram, Twitter, etc.
- Footer text: Customize the footer with your organization’s essential information.
Campaign-Level Customizations
Enhance your emails for specific campaigns by overriding account-level defaults here.
Localization
Use the Localization menu for translating email templates. A language selector helps toggle between activated languages. Customize translations to suit organizational needs. You can also customize social media links per language for multi-lingual supporters.
